[Audio] PURPOSE This policy is designed to enhance security and ensure the safety and confidentiality of Crosslink Technology’s workplace by regulating access to the facility & office. It defines the procedures for entry and monitoring of visitors within the premises..
[Audio] Scope This policy will be applicable to all visitors, contractors, and any other non-employee personnel entering the company premises..
[Audio] Policy guidelines Key Fob Access: Only full-time Company employees and the designated cleaning team (under contract) representatives are permitted to possess and use a key fob for entering the premises. All contractors or other personnel previously issued a key fob must return them immediately to the Marketing and Sales Operation Manager. No new fobs will be issued to non-employees without explicit approval from the Marketing and Sales Operation Manager..
[Audio] Visitor Entry and Registration: In-promptu Visitors Crosslink Technology Inc. remains an appointment only facility Visitors without an appointment will be refused entry and be asked to schedule a future appointment with their contact Visitors with Appointments All visitors must wait in the designated waiting area (main office entrance or Logistics entrance) until their contact receives them. Upon entry, all visitors are required to sign the visitor log sheet available at the main office entrance or shipping area. After signing in, visitors must check in with an assigned employee who will facilitate their visit. With the exception of contractors for extended periods of work, visitors are not allowed to be left un-attended at any time during their visit. Exiting All visitors must exit the premises only after signing out and checking out with their contact..
[Audio] Identification Badges: Upon checking in, visitors will be issued a badge which must be worn visibly at all times. The badge will categorize them either as a "Visitor" or "Contractor." Upon approval from contact (for extended jobs), only contractors will be allowed to work without supervision, while always keeping their identification badge on. This identification must be returned to the visitor’s contact upon departure..
[Audio] Specific Access for Truck Drivers: Truck drivers may enter through the side door near the Logistics Office. Upon entry, drivers must check in directly with the Shipping Department. If shipping department is not available, drivers must wait at the designated Logistics waiting area.
[Audio] Employee Accompaniment: The employee responsible for allowing the visitor entry must accompany the visitor for the duration of their stay. If direct accompaniment is not feasible (e.g., during extended work or visits), the employee is required to check on the visitor at least every hour. This ensures visitors are adequately supervised and restricted to authorized areas only..
[Audio] Visitor Conduct and Compliance: Visitors are expected to follow all company policies and respect the privacy and work processes of all employees during their stay. Before extended work, visitors must attend a Crosslink health and safety training session. Visitors must attend a health and safety training session every 12 months or when the Plant Manager determines it is required (for example, after a significant change to the health and safety protocols), whatever happens first. During extended work or visits, visitors are expected to stay within the designated area for their work or visit at all times, except when using the washroom or lunch room. Visitors are expected to let their employee contact know of their whereabouts at all times. This ensures everyone can be accounted for in case of an emergency and that visitors do not visit areas they are not permitted to. Any violation of company policies by a visitor should be reported immediately to a Manager or Human Resources..
