Scene 1 (0s)

Intelligent Automation Program RS-Division. May-2024.

Scene 2 (7s)

[Audio] Use Case Lifecycle A Use Case typically passes through various stages before it is deployed to production. The first stage is where the opportunity is received by the Intelligent Automation team. After this, an intake process is performed to arrive at the various benefits to be derived and the costs involved in developing a bot for the opportunity. Depending on the Cost-Benefit analysis during the intake process, the Robotics team either approves or drops the opportunity from further development. If approved, detailed requirements are gathered for the Use Case capturing the detailed steps and process flows associated with the opportunity. After this, the development team codes the Bot based on the detailed requirements and deploys the code to production. The Bot is then handed over to the Production Support team for ongoing maintenance, after a two week Hypercare window post production..

Scene 3 (1m 0s)

[Audio] RS Division Use Cases in Production There are six Bots that are currently running for RS-Division. They are the E.A.C. Bot, R.S Investment Bot, R.S Client Lead Vetting GVA Bot, W.I Secure Download Bot, Mid-America F.T.P. File Validation & Transformation Bot and AWD Help Notes Bot. The E.A.C Bot prevents management having to go in manually updating participants. Bot automates the process of providing access, resulting in capacity free up. The savings from the Bot is about $15,000. The R.S Investment Bot manages the requests received via emails or notification letters for new plans setup and changes to existing plans. It navigates between spreadsheets, Omni, S.S.R.S. and e-Producer to capture and update details. The Bot is estimated to save approximately $60,000. The R.S Client Lead Vetting GVA Bot vets terminated participants by performing various checks to determine if OneAmerica can engage with them for asset retention purposes. The Business value of the Bot is $70,000. The WI Secure Download Bot downloads customer data files from a secure website and places on Lan Drive for RS review. The savings from the Bot is around $59,000. The Mid-America F.T.P. File Validation & Transformation Bot implements pre-validation check for Mid America trade files to identify and resolve data issues before trades, thereby preventing delays. The Bot is expected to save approximately $109,000. The AWD Help Notes Bot requests to update Help Notes output from Access DB to allow AWD to load and deliver all files on LAN. Thought the savings from the Bot is only about $400, it serves an important function by providing RS associates with up-to-date information on processes performed by them..

Scene 4 (3m 11s)

[Audio] RS Division Bots prior to Production There are also a few Bots that are at various stages prior to code deployment in production. The Comparison File Process opportunity, Disbursements Termination – Open Arch opportunity and RS CEC Special Phone Verification opportunity are at the intake stage, while the Plan Service Review Creation Use Case is in the requirements gathering stage..

Scene 5 (3m 38s)

[Audio] MidAmerica FTP File Validation & Transformation Let us take a deeper look at the MidAmerica Bot and understand how the Bot functions to provide quantitative and qualitative benefits to the team. Problem statement and solution: The Bot seeks to automate the validation and verification process, aiming to boost straight-through processing of the daily trade files and scale for future growth..

Scene 6 (4m 6s)

[Audio] Now let us discuss the Business Benefits: The automation reduces possibility of financial losses due to errors in trade files, reduces Mid-America's manual effort of 2 F.T.E. in correcting and validating files, standardizes the trade file intake process, increases straight through processing, enhances client experience & strengthens partner relationship, and finally improves monitoring, reporting, and error handling. Annual cost savings: The Bot in total is expected to save $109,000 by avoiding monetary loss caused by trade errors or delays and savings due to avoidance of manual effort..

Scene 7 (4m 49s)

[Audio] And here is the Process flow: The process steps between 9 AM and 1 PM starts once the trade text file is received. The Bot performs date and filename validations, followed by data validation and processing of additional or corrected file received from MidAmerica. The process between 1 PM and 2 PM involves transforming data, processing data validations and transformations on corrected files and finally moving the transformed files to sub-folder for automatic OMNI job load. The process between 2 PM and 4 PM is concerned with processing data validation and transformation on additional and corrected files and ultimately sending notification to stakeholders for manual OMNI job load..
