[Audio] Annexure 4 : REPORT ON EPIC SPECTRUM (Food) The three-day event was an exciting and challenging opportunity for the food management team. During these days, we were responsible for distributing snacks and meals to the guests, faculty members, and students. Our primary task was to ensure that food was served efficiently and promptly while maintaining quality and catering to everyone's preferences. This report highlights the events of each day, detailing the snacks and meals served, as well as the strategies we implemented for smooth coordination..

Scene 11 (18m 53s)

[Audio] Day 1: 8th January - Snacks Distribution at the Amphitheatre On the first day, we distributed coupons for snacks, which were then exchanged for Mirchi Bhaji, Aloo Bonda, and Coke. The distribution took place in the amphitheatre, where a large number of students and faculty gathered. The team managed the crowd by organizing the distribution in an orderly manner, ensuring that everyone received their portion of snacks. The students were enthusiastic, and the event began on a positive note, with the snacks being enjoyed by all. The distribution process went smoothly, and there were no issues with the snacks or the distribution process. Day 2: 9th January - Snacks at the Happy House The second day involved distributing coupons for snacks again, which were exchanged for Aloo Chop and Coke. This time, the snacks were served at the Happy House, a more relaxed and intimate setting compared to the amphitheatre. The food was appreciated by everyone, and the distribution process was handled efficiently. The team made sure that the guests and faculty members received their snacks without delays. The experience was an opportunity to enhance our coordination skills as we adjusted to the venue change and the varying preferences of the attendees. Day 3: 10th January - Full Meal and Dessert Distribution The third day was the most extensive, as we distributed coupons for snacks, dinner, and dessert separately. Scene 12 (20m 47s)

[Audio] To ensure a smooth process, we had two separate counters: one for vegetarian food and one for non-vegetarian food. The vegetarian menu included the following dishes: Salad, Papad, Tandoori Roti, Grilled Pineapple, Butter Naan, Dal Makhani, Paneer Tikka, Fried Rice, and Paneer Masala. For the nonvegetarian menu, we offered Salad, Papad, Tandoori Roti, Butter Naan, Reshmi Chicken Kebab, Grilled Pineapple, Fried Rice, and Chicken Curry. The diversity of the menu allowed all attendees to choose according to their preferences, and both vegetarian and non-vegetarian options were highly appreciated. For dessert, we served Gulab Jamun and Ice Cream, which was the same for both vegetarian and non-vegetarian attendees. This was a satisfying conclusion to the meal, and the guests seemed to enjoy the dessert, making the dinner a complete success. Coupon System for Efficient Management To track the number of meals served and to ensure that everyone received their proper portion, we created coupon boxes for each type of meal: snacks, dinner, and dessert. This system allowed for an accurate count of the total number of plates distributed, simplifying the task of managing food quantities and minimizing waste. Student Involvement and Guest Service A unique feature of the event was the active involvement of students in the food distribution process. Students were assigned specific roles in serving food to the guests and faculty members. This allowed them to experience firsthand the challenges of food management while interacting with the attendees. The students also helped in maintaining order during meal service, ensuring that both the faculty and guests were served promptly and efficiently. The three-day event was a valuable learning experience for the food management team. The challenges faced on each day—whether it was handling large crowds, managing different types of food, or ensuring smooth coordination—helped the team grow in terms of management skills. I learned a great deal about organizing large-scale events, managing resources, and handling both the logistical and human aspects of food service.
