Purpose The purpose of this SOP is to ensure that all cash-ups, banking procedures, petty cash transactions, COD transactions and card machine procedures are handled correctly, accurately and consistently across all pharmacies. This SOP is implemented to prevent: • Cash-up errors • Incorrect banking • Short banking • Incorrect float handling • Petty cash without supporting documents • Missing petty cash slips • Cash loss • Uncontrolled COD transactions • Manual transactions at front tills • Poor accountability 2. Scope This SOP applies to all pharmacy staff responsible for working on tills, handling cash, doing cash-ups, preparing banking, using petty cash, posting banking or petty cash proof on Slack and handling Capitec or Adumo / Transaction Junction machine procedures. 3. Responsibilities • Cashiers are responsible for their own tills, floats, cash-ups, banking paperwork, petty cash slips and Slack postings. • Managers / authorised staff are responsible for passwords, petty cash approvals and ensuring that the correct procedure is followed. • Drivers are responsible for collecting banking, signing the deposit slip, banking the money and returning the banking proof. • Bianca is responsible for finalising cash-ups and comparing amounts banked against amounts that must be banked. • Management is responsible for enforcing this SOP and ensuring that non-compliance is corrected. 4. POSWIN Cash-Up Procedure.

Therefore, you can skip this step. You do not need to open the POSWIN system as the manager has already done so. This procedure is essential in preventing errors, loss, and lack of accountability among our cashiers and staff. The procedure includes several steps which must be followed carefully. When filling out the deposit slips, please remember to write today's date and the total amount of money being banked. This should only include notes, no coins. Also, please ensure that all R10 and R20 notes are exchanged for larger notes. The driver who collects the money to be banked must write down their name and signature, indicating that they have taken responsibility for the cash. The same goes for the cashier who worked on the till and cashed up the money. They must also write their name and sign the slip. Another staff member must then count the money and check that everything balances. They must also write their name and sign the slip. This is an important step in maintaining accountability. I want to draw your attention to the disclaimer underneath each deposit slip. It states that the pharmacy will not be held liable for any lost or short-banked money. It is the responsibility of both the cashier and driver to take full accountability for the money. Please note that coins cannot be banked and must be kept safely in your till or bankbook until there is enough to make notes that can be banked. Once the deposit slips are filled out, please put the cash into a money bag and staple the paper onto the bag. This bag will be collected by the driver, who will then take it to the bank. All details on the deposit must be filled in and signed for. It is the responsibility of the cashier to inform the driver when the money is ready to be collected. Once the driver returns, please take clear pictures of the banking slips and post them on our Slack channel immediately. This will ensure that we have a record of the deposits. In case the ATM does not take all the notes, please post a photo of the bank slip on the channel and bank it on your next run. Lastly, please remember to post the bank slip on our banking channel on Slack for verification. Keep your bank deposit book with you at all times..

To achieve this, we have established certain guidelines which must be followed. Firstly, cashiers must do their cash-ups before going on lunch. This is important because no other staff member can work at your till if you have not cashed up. It ensures that all transactions are accurately recorded and prevents unauthorized access to the till. Moving on, it is mandatory for all tills at the front of the pharmacy to have passwords on them. This is to ensure that no manual transactions are done and all sales are properly recorded in our system. Once the bank slip is posted onto our Slack channel, the cash-ups will be performed by a designated staff member. For all our pharmacies, Bianca will be responsible for this task. She will also fill in the bank sheets to compare the total amount that needs to be banked with the amount you have banked. Any discrepancies, whether shortages or overages, must be noted on the sheet. Please remember, you are responsible for your own till. Any short amounts banked or discrepancies on your sheet will be deducted from your salary. This is to encourage accountability and accuracy in handling cash. Now, let's talk about card transactions. Your till should not open when a card transaction is done. If it does, inform the above-mentioned staff to contact Propharm for repairs. We want to ensure that our card machine is functioning properly at all times. Also, please note that you are not allowed to type in the product description when making a sale. You should only type in the product code or scan the product. If you are able to type in the description, please report it to the designated staff to contact Propharm. If there are any issues with the product code, please go to the stock controller for corrections. In case the system requests a manager's code, you should ask the pharmacist to scan their barcode at your till. This is to ensure proper authorization for any high-value transactions. Another important reminder is that no tills should have keys in them. We want to prevent any accidental or unauthorized access to the tills. Also, cashiers are not allowed to use their cellphones while on duty. Please use the pharmacy's WhatsApp or Slack phone for taking and posting pictures on Slack. If there are no customers, one cashier should always stay at the till while the others can assist on the floor. This helps to ensure that the tills are always attended and prevents any potential mistakes or discrepancies. Lastly, cashiers should not know if they are over or short on their cash-ups. If there are any significant discrepancies, you will be notified on Slack. This is to prevent any bias or manipulation of the cash-up process. Choose the Withdrawal button to remove funds from your account. 5. Enter your password to access the system. 6. Provide the required ASS code for security purposes. 7. Fill in a valid reason for the withdrawal, such as a purchase or payment. Note that the reason should not be 'GENERAL'. 8. Save and exit the system after completing the transaction. 9. To complete the return process, go to the Allocation section of the POSWIN application. 10. Enter your password again to access the system. 11. Select the petty cash transaction for which you withdrew the money. 12. If there is any remaining change, click on the Return Change button. 13. Put the returned cash back into the drawer. 14. If they do not have one, ask if you can create one for them. Scan the products and then press F2 followed by Cash Sale and Yes. Choose Manual Credit Card and provide the following information at the bottom: CVV NUMBER: 000, CARD NUMBER: 000, EXPIRY DATE: MM:00, YY:00, and www.thelocalchoice.co.za. Note that in some cases, the CVV number may not be 000 depending on the card used. It is advisable to use the Capitec card machine whenever possible..
