These cards are also commonly referred to as procurement cards or PCards. There are almost 2000 card holders at Jeffco Public Schools. The PCards are issued by US Bank and are a Visa product. Purchasing Department staff members manage the PCard program. PCards are designed to reduce the paperwork and administrative time required for small purchases made by District employees..
[Audio] At the end of watching this presentation, you will be asked to take a test on the information you have learned. Once you achieve a score of 100%, you will receive an email with an agreement attached.Signing the agreement signifies that you will abide by all Jeffco Public School PCard policies. The purchasing card staff cannot order your card until your Purchasing Card Program Agreement is signed and received. The consequences for violating PCard policies can be found on the PCard website and are included here. It is important to note that a PCard may be revoked at any time by your Approver. Abuse can lead to other disciplinary action. Following the outlined guidelines will keep you and the District safe. [Audio] Information regarding the PCard program can be found on the My Jeffco Intranet. The PCard staff maintains the PCard website. This site can be easily accessed by searching the My Jeffco Intranet website for PCard. The PCard Handbook is also located on this site under PCard Guides and Policies. It is updated periodically, so you may wish to review it on an annual basis. Consult the PCard website if you have questions, shop after hours, or run into issues. Please also familiarize yourself with the PCard Handbook. All cardholders are responsible for the information contained in the handbook and on the website. Other useful resources include your Financial Secretary (known as your Reconciler), your manager/principal (or Approver) or the PCard staff. The PCard staff can be emailed at [email protected]..
[Audio] There are rules and policies regarding spending at Jeffco Public Schools. Some are driven by federal, state, and local law. Jeffco Public School guidelines are approved by a policy guidance board which is the District Cabinet. The Board of Education sets purchasing delegation authority. Links to many of the policies can be found on the PCard website. However, it is worth going over a few key points. PCards are used for small dollar purchases. PCard limits are assigned by your Approver (Principal or Manager) and a single transaction limit may be up to $3,500. Any purchase over $3,500 should be made through a requisition. Your Reconciler can assist you with the process and let you know about policy exceptions. Even when making small purchases, there are things that you need to remember when using your PCard. Let us start with merchants..
[Audio] Jeffco Public School's Purchasing Department works hard to negotiate the best price for items that employees purchase. Often, Jeffco has contracts with vendors and processes for purchasing specific items. Books, office supplies, furniture, and chemicals are some examples. Contracted prices are usually lower due to the districts volume of purchases. When negotiating, the Purchasing Department considers things like – quality specifications, warranties, ease of return, guaranteed tax exemption, shipping costs, and item availability. Cardholders should be good district citizens and use merchants with vendor district contracts whenever available. For example, our district currently has an exclusive contract with Staples for office supplies and Follett for library book purchases. There are procedures that must be followed for ordering items like chemicals, buses for field trips, and furniture. If a PCard user does not know if a contract exists, they should check with the commodity buyer or review the buying guides on the Purchasing website before making a purchase..

You are not allowed to purchase anything that connects to the internet on a PCard – this includes computers, laptops, e-book readers, tablets, MP3 players, etc. If you have any doubt, contact Purchasing or IT. Peripherals such as speakers, monitors, keyboards, and mice are okay and can be purchased with the PCard. The purchase of bond funded items is not allowed. Bond items are usually for things like constructing a new school. Fuel can only be purchased on a PCard for a rental vehicle or district owned vehicle being used out of the Denver metro area. If you use your personal vehicle for district business, please go to ESS and claim your mileage in the system. If you are in the Denver area, contact Transportation for instructions..
[Audio] Before paying a service provider with a PCard, we encourage you to check with Purchasing or your Reconciler. Service providers (sometimes referred to as consultants, 1099 vendors, or independent contractors) are generally described as unincorporated businesses or individuals that provide services without Jeffco Public School's direct control and file as a sole proprietorship or partnership. If you use a district PCard for payment, the bank provider reports the required 1099 supplier information to the IRS. The following documentation must be obtained prior to payment of a service provider: W9, 1099 Certifications and Waivers, the supplier's Insurance Certificate, and a Jeffco Services Agreement for Schools signed by the Independent Contractor and the District Administrator. This documentation should be maintained by the school or department's financial secretary or technician who will store it according to financial record retention policies. Remember that PCard Payments may not exceed the $3,500 threshold..
[Audio] Microsoft Engineering Excellence You should not buy gift certificates or gift cards for Jeffco staff with your PCard. The IRS requires an employee receiving a monetary gift to claim it as income. A gift card purchased as an educational incentive is an acceptable practice. The purpose of the gift card must be clearly identified as an educational incentive or completely random, as in the case of a drawing. Schools need to maintain appropriate documentation of use that indicates the type of educational activity, list of students who received the gift cards, student signatures acknowledging receipt, and names and signatures of staff issuing the gift cards. Banking charges, ATM withdrawals, ATM fees, cash advances, alcohol, escort services, massages, or any other purchase that would create a negative light on the District are not permissible..
[Audio] Microsoft Engineering Excellence A quick word about grant funding. If you plan to buy something on a PCard with grant funding, keep in mind the grants expiration date. PCard expenses are recorded by the date they are posted in the bank, not the transaction date. We recommend that you stop using your PCard for the last 2-3 weeks of the grant period, so all expenses post in the correct accounting cycle. All policy and purchasing procedures still apply to grant funded purchases. We have a Grant Accounting Team at Jeffco, so make sure to utilize them if you have questions..
[Audio] Jeffco Public School PCard users must always keep in mind that their purchases can be scrutinized at any time by internal or external sources. It is important to remember this when using your PCard. Several rules are in place to protect the District and the cardholder from misuse or questionable transactions. One such important guideline is claiming the tax-exempt status..
[Audio] All PCard holders are notified via email when their PCard has arrived in Purchasing. In the body of the notification, you will find a link to access and print Jeffco's tax exemption forms. Purchases made on behalf of our district with a PCard are tax exempt in the state of Colorado. It is the Cardholder's responsibility to request tax exemption for every purchase. It is recommended that you do not go shopping when you are in a hurry. You may need to take time to work with the merchant's customer service department to get the tax exemption. Some merchants will require you to fill out paperwork. Tax payments made in small amounts impact Jeffco's budget. If every cardholder in the district paid a dollar on tax every month, the District would spend $24,000 annually on taxes. Small dollars can quickly add up to big dollars! Please get into the habit of saying, "I work for Jeffco Public Schools and am tax exempt, how do I claim it?".
[Audio] You should never ask for a tax exemption if you are making a personal purchase and paying with your own personal check, credit card, or cash. A merchant can be fined if they are audited by the state and cannot prove that the tax exemption was given to a tax-exempt organization. This is a picture of a Jeffco PCard. As you can see, it has the Tax ID embossed on the bottom left of the card. Please note that the Tax ID number is not encoded onto the magnetic strip or on the chip, so the only way a merchant knows you are tax exempt is by showing the merchant your card and stating you "work for Jeffco Public schools and are tax exempt." Use of the district's tax exemption for personal purchases is not allowed. Misuse can lead to employment termination, legal action, fines from the state and/or prison time..
[Audio] Remember, on all purchases it is the cardholder's responsibility to get the tax exemption! If a merchant denies the tax exemption, it is very important that you make a handwritten notation on the receipt stating that the tax exemption request was denied. For future needs, try not to re-visit that merchant. It is very important to document when the tax exemption is denied. Failure to make the necessary notations on the receipt may lead to a PCard violation as it will appear that you did not attempt to obtain the tax exemption while making the purchase..
[Audio] This is a receipt from Target. You will notice something different on this receipt, a COPFO (Public Improvement Fee). You might see this at a few shopping centers. It is a fee to help pay for snow removal, landscaping, and grounds keeping. This receipt is from Colorado Mills. Every merchant within the Mills area will have this fee. This fee is not a tax, so please pay the fee if it appears while making your purchase..
[Audio] Colorado is a home rule state. This means that the state constitution grants cities, municipalities, and counties the ability to pass laws to govern themselves. As such, some cities collect their own taxes. The email notification that you will receive when your PCard arrives in Purchasing will contain a link to access several tax exemption letters from cities scattered across the metro area. Jeffco is exempted from these city taxes (Denver and Westminster for example). In addition to showing merchants your state document, you may need to show your city tax exemption information as well, Keep a copy of all tax-exempt documents on hand when using your PCard. These forms are also available on the PCard website under PCard Tools and Reports. Please be aware that some merchants will refuse to accept electronic documents. There are several cities that don't require a tax-exempt certificate like Golden, Conifer, Arvada, Northglenn, and Thornton..
[Audio] Since Jeffco is 501c3, this letter, which also is in your packet, may also persuade a merchant to provide the tax exemption. This is the same document that is given to those who make charitable donations to Jeffco Public Schools..
[Audio] If you are traveling out of Colorado or the Denver metro area, please continue to ask merchants if they will accept your tax exemption. Several states have a reciprocal tax agreement and merchants may honor the tax exemption. If the tax exemption is refused, remember to notate your attempt to get the tax exemption on the receipt – even if it is for an out of state transaction. Here are some other PCard guidelines..
[Audio] Split transactions are not allowed. A split transaction involves making multiple purchases to circumvent your set transaction limits. A split transaction violation occurs when a cardholder makes multiple like purchases with the same merchant and spends more than their transaction limits within 5 to 10 business days. Let's say you have a Single Transaction Limit of $2,500, and you visit Merchant A to buy $3,000 worth of items. Your card would be declined – since you tried to exceed your single transaction limit of $2,500. A split transaction would occur if you tried to circumvent the limits by making separate transactions of $2,000 on one day, and $1,000 on the next day in order to purchase the $3,000 worth of items or services. Please note that splitting said transaction between separate cardholders would also be considered a split and is not allowed. Continuing with our example, if you spend $1,000 at Merchant A and $2,000 at Merchant B it would be okay. Purchasing from two different merchants within your prescribed limits is okay. Instead of splitting transactions, ask your Approving Official for permission to temporarily increase your spending limits. Your reconciler can electronically submit the request on your behalf. Instructions can be found on the PCard website. Once you reach your tilling cycle limit, your card will also be declined. Limit increases are subject to approved policy exceptions. Jeffco Public Schools has purchasing guidelines that all staff must abide by. Unless there is an approved policy exception, single purchases over $3,500 must go on a requisition. Purchasing policy DJ/DJA may be found on the PCard website and explains this in more detail..
[Audio] The next important thing to remember is, never allow another person to use your PCard. As an example, let's say a teacher gave their PCard to a group of students to buy decorations for a dance. Unbeknownst to the teacher, the kids (who are minors) purchase alcohol with the PCard. In this scenario, the teacher could lose their job, and worse, be arrested and charged for buying alcohol for minors. Similarly, let's say a cardholder lets a staff member use their PCard. Later, that staff member becomes disgruntled and leaves the district. Before leaving, the staff member uses the previous purchase information to make unapproved purchases. The staff member is now responsible for the purchases because they are on their PCard. Lending your PCard is never a good idea. Always ask yourself when making a PCard decision, "How would you handle this if it were on your own person credit card?" Keep your information safe and secure..
[Audio] Microsoft Engineering Excellence Employees are not allowed to put any personal purchases on their PCard. Personal purchases are not permitted at any time. To help differentiate the Jeffco PCard from your personal credit or debit cards, you will receive a yellow sleeve along with your PCard. Always store your PCard in the yellow sleeve..
[Audio] To further protect you and the district, Jeffco Public Schools has a very strict policy against shipping to a personal address. Any purchase made on the PCard that require shipment should be sent to your work address. Keep this in mind during the holidays, vacations, and over the summer. Do not ship your purchases home or to a non-district address when you are away from work. When added to the Jeffco business account (like Amazon or Staples) district shipping addresses will be automatically tied to your account. This protects you from the appearance of making personal purchases with your PCard..
[Audio] If you go home and need to buy things for school and work, you should make two separate transactions. Your personal transaction should be made on your personal card and your work transaction should be made on your Jeffco Public School p-card. Often times employees make mistakes when they are in a hurry, and just whip out a credit card. To help you avoid that issue, you will receive an envelope for your p-card to help you keep it separate from your other cards. Just remember that it only works, if you put the card back in the envelope after each use. Similarly, do not store your Jeffco p-card information on-line or with any merchant. This prevents misuse and provides another layer of security..
[Audio] Personal purchases often happen accidentally when cardholders are using online retailers such as Amazon, Best Buy, PayPal, Staples, Home Depot, Lyft, Uber, etc. The best way to avoid this is to never use personal accounts for work purchases. Online work purchases should be made using an established work account. If you don't have a work account with the merchant, you should create an account, specifically using your work address, work email, and work phone number. Do not store your Jeffco PCard account information on-line. Jeffco Public Schools has an Amazon Business and Staples account. Information for getting set up as a user on these accounts is on the PCard website. Remember, your Jeffco Public Schools Business accounts may not be used for personal purchases..
[Audio] Microsoft Engineering Excellence Sometimes mistakes happen, you accidentally give the merchant your PCard instead of your personal credit card. So what should you do? First, try to work with the merchant to reverse the transaction off of your work PCard. Then pay with your personal card or pay with cash. Some merchants try to give you back in store credit or cash instead of reversing the transaction. Please insist that the charges are reversed (credited) back onto your card. Sometimes asking for a manager will help. Do not accept a cash refund..
[Audio] Many tools are used to combat fraud. These include internal and external controls. US Bank uses many protocols to monitor Jeffco cardholder transactions. US Bank may decline a transaction due to their fraud prevention controls. If your card is declined, please call the number on the back of your card. Most of the time, the bank can assist you while you are trying to make the purchase. Jeffco has internal controls in place as well. Once a week your Reconciler (financial secretary) will go into PeopleSoft and look over all your transactions. PCard and Internal Audit staff members routinely audit PCard documentation and transactions. Computer processes are also used to verify transactions and cardholders. Approvers review transactions monthly. Cardholders should always keep their PCard information confidential, review their bank statement, and adhere to Jeffco PCard policies and procedures. It is the responsibility of the cardholder to promptly report lost, stolen, or compromised cards to US Bank. Any fraudulent activity should also be reported to your Reconciler so that the appropriate notations can be recorded in your PCard envelope. Your PCard is tied to the work information provided on your application. If you contact the bank with regards to your card, you may be asked to provide the information from your PCard application, such as your work address, your spending limits, your email, and phone number. Merchants may also need information to verify a transaction. Again, you should provide the work information from your PCard application for this purpose..
[Audio] The PCard should not affect your personal credit. We have done a few things to assure this. If you do pull your credit report and see your Jeffco PCard listed, please let the Purchasing Department know. We will work with the bank to rectify the issue..
[Audio] Upon receipt of your PCard, you should establish your online US Bank account. Instructions on how to do so will be emailed to you when your PCard has arrived in Purchasing. By maintaining your online account, you will be able to track your spending and view or print your bank statements. Next, let's talk about the procedures and documentation that are required when using your PCard. Your job as a cardholder is to keep track of the purchases and transactions you make during the billing cycle. In addition, you must also retain all supporting documentation for said purchases and transactions. Descriptions and accounting changes must be reported to your Reconciler weekly. Your PCard envelope and Transaction Log must be completed, signed, and turned into your Approver every billing cycle or monthly. The billing cycle is not a typical calendar month. It is usually the 7th through the 6th of the month. If the 6th lands on a non-business day such as a holiday or weekend, the start or end date is pushed to the next business day. For example, if the 6th lands on a Saturday, the close date would be the 8th. And the next cycle would start on the 9th. The bank cycle calendar can be found on the PCard website..
[Audio] PCard holders must have certain documentation for each transaction. You are required to keep a receipt for each purchase made with your PCard. All merchants can provide a receipt. The receipt must include the name of the merchant, an itemized list of what was purchased, the price per item, and any additional charges (shipping, improvement fee, etc.). The receipt must also demonstrate that payment was made, and the tax exemption was given. A quote, invoice requesting payment, or an email confirming a purchase should not be used in place of the receipt (proof of payment). Examples of what constitutes a receipt can be found on the PCard website. Some merchants may provide you with a receipt that does not have much information. If the receipt is not itemized, write down on a separate piece of paper a list of what you purchased and the cost of each item. Any missing information should be added by the cardholder and attach it to the original receipt. If your item is shipped, you will be required to provide the packing slip or proof of delivery. This documentation should clearly demonstrate that the items purchased were received at the district address. If you do not receive a packing slip with the items, the purchaser may sign, date, and write "Received" on the receipt. If a receipt is lost, please collaborate with your Reconciler on submitting an Unavailable Documentation – Business Expense form in ESS. Itemization is required. The form must be submitted by your Reconciler and approved by your Approver. Please ask your Reconciler to screen print the form and insert it in the applicable PCard envelope in place of the lost receipt. Notation of the circumstance should also be included on the PCard Transaction Log. Submission of the form should be an infrequent occurrence..
[Audio] You should complete a PCard Transaction Log for each bank cycle in which you make purchases. Think of it like a check register. The Transaction Log should be attached to the PCard envelope and all receipts and packing slips should be kept in the envelope. Please be sure to attach the proof of delivery to the applicable receipt. Use the PCard Transaction Log to track your orders and for reconciling to the bank statement. Transaction Logs may be filled out by hand or typed on the PCard website envelope template. The important thing is not how you fill the Transaction Log out, but that you fill in the log each week. Each week your Reconciler will need this information. At the end of the billing cycle, you must reconcile your purchases with the bank statement and sign the Transaction Log to demonstrate your compliance with PCard policies. Your Reconciler can assist you with how your school or department manages the turn in process. Let us go over a few key terms. The Transaction Date is the day you made the purchase. Vendor Name is the name of the merchant. The Business Description is particularly important. Whatever you list here will be copied into PeopleSoft by your Reconciler. The description will eventually be made public on the transparency website as well as in the nVision budget reports. Descriptions should not get so detailed as to notate "10 pieces of paper, 5 markers, 2 pens, etc." Most importantly, Business Descriptions need to reflect what the purchase is "for". For example, instead of writing descriptions such as "supplies", "pizza", or "training course", better descriptions would be "Supplies for 1st grade art", "pizza for honor roll party" or "Leadership training for Director". Cost is the dollar amount that should be on the bank statement and on the receipt in the envelope..
[Audio] Your PCard application is submitted with a default accounting string. The Fund/Program column is used if you plan to pay with another fund that is different from your default. If you are making purchases for multiple persons within different departments, you will probably use this a lot. If the accounting is not turned in promptly each week, your Reconciler will need to do journal entries to input these changes. Again, weekly turn in is key! Comments are where you might put down oddities, like "spoke with J. Smith – wouldn't accept tax exemption" for example. Always notate anything unusual. It will help you and anyone reviewing your transactions understand any unusual circumstances over the next seven years. The Receipt column can be used to organize the transactions by numbering the statement and adding a corresponding number on the receipt..
[Audio] Each week you should turn in your descriptions and accounting information to your Reconciler per your school or department schedule. Your name, employee ID, school or department, and billing cycle dates are all essential and should be included on your log. Make sure to include the receipt, proof of delivery, purposeful descriptions, and any accounting string changes on your Transaction log and in your envelope. At the end of each billing cycle, review and complete your envelope by comparing each receipt to your bank statement. All transactions on the bank statement should have a supporting receipt. All purchases that were shipped should have the packing slip attached to it or have a notation of delivery written on the receipt. Any credits, discrepancies, or odd occurrences should be documented and included in the envelope. After completing your review, sign, date and submit your transaction log and envelope to your Approver. Your Approver will review your log and contents of the envelope for completeness and the appropriateness of the transactions. The Approver should then sign your envelope and give it to your Reconciler. Your Approver has until the next billing cycle to complete their review. Envelopes are kept on site for the current year plus 3 prior years. Financial records are archived for seven years and then they are shredded. If you do not have any transactions for a period, you do not need to complete a Transaction log or turn in an envelope to your Approver..
[Audio] Microsoft Engineering Excellence Always keep in mind- others are watching. Jeffco has a transparency website so people within the community can always see where taxpayer money is being spent. When people within the community search the transparency site, they can narrow down where the money is being pulled from – such as general fund, construction, information security, etc. The site does not list your name or credit card number, but it does provide a great deal of information like merchant name, funding source, department, and purchase descriptions. If the public wants more information, they can request it through the Colorado Open Records Act (or CORA). Remember, anyone can look, and they are looking. Coworkers, students, parents, watchdog sites, the media, the bank, auditors, accounting, and the PCard staff may look at any time. The descriptions you provide will be important during this scrutiny, so do your best to provide meaningful information. Financial documents may be reviewed and are kept for seven years. Provide enough information so that if you are questioned you will remember what occurred. Any unusual circumstances should always be documented and included in the corresponding PCard envelope..
[Audio] When reconciling the bank statement to your PCard transactions, you may find discrepancies. It is the responsibility of the cardholder to resolve any discrepancies with the merchant. If you are unable to resolve the issue with the merchant, you can escalate the matter by filing a dispute with US Bank. You should contact the bank if your card is lost, stolen, or compromised; the number is on the back of your card. You can also find the number in the PCard handbook and on the PCard website..
[Audio] Some other helpful things to know, if you are traveling outside Colorado, please call US Bank so they do not flag your PCard for suspected fraud. District travel policies apply to all PCard transactions. All travel PCard receipts must be put in the corresponding PCard envelope in addition to uploading them into the ESS Travel system. Food purchased for other district employees should be itemized by employee on the receipt. It is acceptable to list the number of students that meals are purchased for. Do not list students by name in your documentation. Remember meal allowance per diems apply to PCard transactions as well. An important reminder with regards to meal purchases. The Board of Education discourages purchases of food for staff events – such as staff meetings, conferences, interviews, etc. Please see your Approver for guidance if you wish to purchase something of this nature. Software purchases under $3,500 may be self-vetted by a school and the purchase may be made. However, IT strongly suggests if you need to purchase software, go to the IT website and search for Approved Software information. You may also submit a vetted request to IT if your school or department does not wish to self-vet the software. Jeffco must make sure student and employee data is protected. Jeffco Ed Tech, in partnership with Data Security, work to make sure that all of the tools used in the district are safe and secure. Please reach out to them if you have questions. Changes should be requested via a PCard change or transfer form in PeopleSoft. Requests must be submitted electronically by your Reconciler and approved by your Approver. If you leave Jeffco or transfer into a position in which you will not need the PCard, it is your responsibility to turn in your PCard to your Approver or Reconciler for shredding. You are responsible for any charges made on your PCard until it is surrendered. It is the Cardholder's responsibility to set up and maintain their online US Bank account. Instructions on how to do so will be shared with the Cardholder at the time the PCard is issued. Instructions can also be found on the PCard website. Upon receipt of your PCard, please take time to set up your account. Your online US Bank account allows you access to view transactions, spending limits, bank statements, and account information. If you call the PCard staff for this information, you will be directed to set up your account and look on-line..
[Audio] Here is a quick recap of the roles and responsibilities of each party: The Cardholder - is responsible for making approved, policy conforming purchases within their prescribed limits. They must set up their account for viewing in US Bank. Cardholders must also provide the required documentation for all purchases within the prescribed timeframe, notify the bank of a compromised, lost, or stolen card, verify purchases against the bank statement and resolve any discrepancies. Cardholders are expected to complete their PCard duties on both a weekly and monthly basis. The Reconciler's goal is to assist the Approving Official in ensuring the integrity of the Purchasing Card Program. The Reconciler (often the Financial Secretary) is responsible for updating accounting string information and entering PCard descriptions in PeopleSoft for all cardholders assigned to their school or department. The reconciliation deadline is every Tuesday at 2 pm. Your reconciler must have your weekly transactions reconciled by this deadline. It is recommended that you submit your transaction documentation to your Reconciler every Thursday so that they have all day Friday and Monday to reconcile your transactions by the weekly deadline. Reconcilers add "cc" followed by the cardholders' initials to all descriptions. This indicates that a credit card transaction was made on the transparency website. If transactions go onto the transparency website without any descriptions it can be a flag for review and scrutiny. The Approver (Principal or Manager) - is responsible for reviewing all PCard envelopes and transactions within one US Bank billing cycle for his/her department. The Approver verifies purchases are following Jeffco PCard policies. Approvers are responsible for their school or department budget, so your purchases must be approved by them. They determine who should have a PCard and the appropriate spending limits. The Approver also ensures that employees are following the prescribed turn-in processes. The purchasing card staff (within the Purchasing Department) is responsible for administering the PCard program, reviewing PCard processes and verifying program compliance. Several departments within Jeffco Accounting are also involved in reviewing transactions - such as Internal Audit, Grants, Charters, SAST and Budget personnel. Internal audit and the PCard staff will review transactions and envelopes routinely to ensure conformity. Each team member has a key role and must do their part in order for the system to work smoothly. Having a PCard is a privilege. A missing envelope, receipt, proof of delivery or untimely communication of descriptions and accounting information causes issues for all involved. Missing the reconciliation deadline or not completing envelopes routinely will result in your card being revoked. Please make every effort to do your part to help this process run smoothly.
