How to link a practice assistant to a fi nancial adviser’s VIA profi le, and give the assistant access to commission and book reports.

The fi nancial adviser must log in using his VIA login details (username and password).

Click on the red circle which displays your initials at the top right of the page.

- A menu of all your linked roles (Financial Adviser, Practice Principal, etc.) will appear.

How to link a practice assistant to a fi nancial adviser’s VIA profi le, and give the assistant access to commission and book reports.

Introduction

A fi nancial adviser can link multiple practice assistants to his VIA profi le. An assistant can also be linked to multiple fi nancial advisers in the same practice (FSP/broker house level). Once an assistant has been linked to an adviser’s profi le, the adviser can choose which VIA features he wants his practice assistants to have access to. This new permission model replaces the old one in MDSOnline.

Important to note

a. Only the fi nancial adviser can change, update or edit the permission per assistant in his practice by using his VIA login details.

b. Access to commission and book reports is new in the permission model.

Steps to link your practice assistant(s) to your VIA profi le

Click “Manage my profi le” to start the linkage process for an assistant.

The fi nancial adviser must enter the assistant’s personal information, e.g. name, surname and identity number. Once completed, the assistant will receive her own VIA username and password.

As shown in the image below, a screen will appear and you must fi rst click “My profi le”, then “Assistant details” and lastly “Add” to add an assistant.

The linked assistant will now be listed when the fi nancial adviser clicks on “Assistant(s) permissions”.

- Remember if no names are listed, you fi rst need to link your assistant(s).

- Log in with your VIA login details (fi nancial adviser’s username and password) to link individual assistants.

- Click on “Assistant(s) permissions” and then select the assistant(s) who you want to give permission to.

- To view the assistant’s details, click “Assistant permissions”.

Section B

How to give your linked assistant(s) permission to access your sales (commission) and book reports in VIA.

Under “Manage my profi le” on VIA you will see all linked assistants of your practice. Select the assistant you wish to edit, update or give access to for a certain VIA feature.

Tick the checkbox to select the feature you want your assistant to have access to. 3.

4. Remember to click “Save” once you have selected the features of the permission list.

5. Now your linked assistant can log in to VIA with her own VIA username and password and view the permitted VIA features.

- Tick the checkbox “Sales” to give your assistant access to your commission statements.

- Tick the checkbox “Book report” to allow your assistant to view product house data (Myriad, Investo, Annuities

and more).

The permission list will grow as new features are deployed.

Log in to VIA with the financial adviser's username and password. Click on "Manage profile" > "My profile" and then on "Assistant details". Select the specific assistant and then click "delete" at the bottom of the page. When the practice assistant uses her own VIA login details to access features she will only see what she has been given access to by the financial adviser. If permission has not been granted, the popup message as shown in the middle of the screen below will appear.

Conclusion

When an assistant resigns or retires, the financial adviser must remove her from his profile:

• Log in to VIA with the financial adviser’s username and password.

• Click on “Manage profile” > “My profile” and then on “Assistant details”.

• Select the specific assistant and then click “delete” at the bottom of the page.

When the practice assistant uses her own VIA login details to access features she will only see what she has been given access to by the financial adviser.
