To begin, it is essential to download and have the following tools open during your shift: It is crucial to have all these tools downloaded and opened during your shift to ensure efficient communication, organization, and task completion. IGMS  - This is our primary tool for guest communication, including inquiries, bookings, calendar blocking, and account settings. Fleurlicity  Email  - Our main business email where all important communications related to our properties, clients, and vendors will be sent. ClickUp   - A centralized hub where we store all information related to our properties, clients, vendors, marketing, onboarding, damages report by cleaners, tasks, and end-of-day reports. Your work Email  - This email should be connected to  Fleurlicity , and all tags and notifications related to our properties will be sent to this email.   Go To Call   - Our business phone number, where we receive calls and messages from clients, guests, and leads. Zillow –  Where we list our long-term properties. Furnished Finder  - A platform where we can find long-term tenants for our properties.

As part of your daily tasks, it is important to download and open certain tools during your shift. One of these tools is IGMS or Integrated Guest Management System. IGMS is a platform that we use to communicate with our guests, and manage bookings, calendar blocking, and account settings. Here are some steps on how to use IGMS effectively:  Start by syncing all client's accounts under the "Account & Listing" tab to avoid IGMS errors.

INBOX Check inbox regularly to ensure that all guest inquiries are answered promptly and that we are the last to respond to the guest. If you're unsure about how to answer a particular inquiry, don't hesitate to ask  LaShanda . Also, please respond to each guest as if you are the owner of the property.

CALENDAR AND BLOCKING    Blocking the calendar is essential to avoid double bookings.   Check calendar to ensure the selected dates are available.    To block specific dates, select them and click "book."    Enter the name "client's request" and choose a color. (IMPORTANT NOTE)  For VRBO bookings, you need to manually accept the bookings to confirm the reservation. Remember, IGMS is a crucial tool in managing our vacation rental properties. FLUERLICITY EMAIL  Our  Fluerlicity  email is our primary business email, and it is essential to keep up-to-date with it. You need to ensure that you read all the important emails and respond to them promptly, and delete any unnecessary emails. It is crucial to have all emails read by the end of your shift to avoid missing any critical information or updates.

CLICK UP ClickUp  is an essential tool that we use to store information regarding our properties, clients, vendors, marketing, onboarding, and more. It serves as a centralized hub for all our essential tasks, including cleaning, damages reports from cleaners, and end-of-day reports. To ensure that all tasks are completed efficiently, it is crucial to stay up-to-date with  ClickUp  daily. Also, please be mindful of every tag, especially when  LaShanda  tags for important tasks, to ensure that nothing important is missed. It's important to fill out claims and contact maintenance promptly whenever issues arise with our properties. This means staying organized and being responsive to any problems that come up, so that we can quickly address them and prevent any further damage or delays.

One important task that should be done on a daily basis is answering all incoming calls and messages on our business phone number. It is critical that we respond promptly to all client, guest, and lead inquiries to ensure good customer service and maintain a professional image. In addition, if we receive an important call or message, it is crucial that we inform  LaShanda  immediately so that she can follow up on it. This helps to ensure that important issues are addressed promptly and that our clients and customers receive the best possible service.

Your WORK Email   Your work email,  This email should be connected to  Fleurlicity , and all tags and notifications related to our properties will be sent to this email.  Your work email is a critical component of staying up to date with all communications related to  Fleurlicity  and our properties. It should be connected to the company and all relevant tags and notifications should be sent to this email address. By monitoring your work email regularly, you can stay informed about any updates, inquiries, or issues related to our properties, allowing you to respond promptly and effectively. This can help to ensure that we provide the best possible service to our clients and customers, and can also help to prevent any potential problems from escalating.

LONG-TERM WEBSITES  FURNISHED FINDER  We have two client lists named "Melrose" and "Larry" on Furnished Finder. It is important to check these lists on a daily basis for any housing requests and respond promptly by sending messages to potential tenants. This will ensure that we provide excellent customer service and meet the needs of our clients in a timely manner. ZILLOW  We have long-term properties listed on Zillow with client Wayne, and it's important to regularly check for any potential leads. This will help us to find new long-term tenants and ensure that our properties are occupied consistently. CRAIGLIST In addition to checking for potential tenants on a daily basis, it's important to conduct background checks on any prospective tenants to ensure that they meet our criteria for renting our properties. This will help us to make informed decisions and protect our properties from any potential damages or issues.
