[Audio] dijitoONEProposal — WPC 2026 Kenya 1. Executive Summary Efficaxx Support Consultants Ltd, trading as Dijito One, is pleased to submit this proposal to Keynote PCO for the technology delivery of registration, accreditation, and delegate engagement at the 13th World Potato Congress (WPC 2026), taking place 26–30 October 2026 at the Sawela Lodges & Convention Centre, Lake Naivasha, Kenya. WPC 2026 is the first World Potato Congress to be held in Sub-Saharan Africa, expected to bring together 1,000+ delegates from over 60 countries, alongside a trade exhibition and field day component. An event of this scale and profile, held on Kenyan soil, requires onsite technology infrastructure, local crew, and payment rails that are built for the East African operating environment — not retrofitted to it. Online registration is already open globally through the official congress channels. The opportunity in front of us now is the onsite layer: badge printing and check-in for 1,000+ delegates across a five-day, multi-venue programme (congress sessions, exhibition floor, field visits, social events), plus a dedicated mobile app to guide delegates through it. Why now: onsite registration and mobile app builds, integrations, and crew logistics for an event of this scale need a 4–6 month runway. With early-bird registration closing 1 July 2026 and the congress itself only four months out from that date, the planning window to commission, build, test, and rehearse onsite systems is closing. Confirming the technology partner now protects the timeline for everything downstream — badge design, exhibitor floor mapping, app content loading, and onsite crew deployment from Nairobi to Naivasha. 2. About Dijito One Dijito One is an event automation suite built and supported in Nairobi, purpose-designed for the East African MICE (Meetings, Incentives, Conferences, Exhibitions) market. We combine local crew, local hardware, and local payment integration with enterprise-grade registration and accreditation technology — giving organisers of major regional and international events a partner who understands both the platform and the ground conditions in Kenya. Relevant experience Dijito One has delivered registration, badging, and mobile app technology for large-scale, highprofile events in Kenya, including: KIICO (Kenya Innovation Week) — multi-day innovation summit with international delegations and exhibition floor Kenya Innovation Week — national-scale programme with government, private sector, and diaspora participation MKTE — large-format trade and exhibition event with onsite accreditation and exhibitor management Efficaxx Support Consultants Ltd | ConfidentialPage 2 of 7.
[Audio] dijitoONEProposal — WPC 2026 Kenya Across these engagements, Dijito One has operated successfully alongside Kenya's national security accreditation requirements, including government protocol agencies (GPSO), through a co-existence model that keeps registration, badge printing, and the mobile app under one accountable technology owner while security accreditation is layered on top — eliminating the data fragmentation and badge-integrity risks that come from splitting these functions across multiple vendors mid-event. 3. The Case for Acting Now Online registration solves only the first mile of the delegate journey. For an event the scale of WPC 2026 — 1,000+ delegates, international travel, an exhibition floor, field visits, and a multiday programme in a venue an hour and a half outside Nairobi — the onsite experience is where an event's professionalism is actually felt and where operational risk concentrates. The value case for confirming onsite registration and the mobile app now, rather than closer to October, is set out below. 3.1 Operational risk reduction Lead time protects quality: badge design, name-badge data validation, exhibitor floor mapping, RFID/QR configuration, and onsite crew training all take weeks, not days. Starting now means testing and rehearsal happen well before the delegates arrive, not in the final fortnight. One vendor, one data trail: if online registration data (from the PCO's existing system) and onsite check-in/badging are not integrated early, registration desks risk duplicate records, name mismatches, and slow queues on Day 1 — exactly when first impressions of the Congress are formed. Connectivity and power planning: Naivasha is not Nairobi. Local infrastructure assessment, backup power, and offline-capable check-in devices need to be planned and tested in advance, not discovered onsite. 3.2 Delegate and sponsor experience Fast, professional check-in: self-service and assisted badge printing for 1,000+ delegates across a five-day programme avoids the queue chaos that damages an international congress's reputation. Mobile app as the delegate's single source of truth: with sessions, field visits, social events, and an exhibition running in parallel, a dedicated mobile app becomes the tool delegates use to navigate the entire week — agenda, maps, speaker bios, exhibitor directory, and real-time updates (e.g. shuttle changes, session room moves). Exhibitor and sponsor value: the mobile app gives exhibitors and sponsors (already being recruited per the current sponsorship drive) a digital storefront — exhibitor directory listings, lead capture via badge scanning, and visibility that strengthens the sponsorship package WPC 2026 is currently selling. [Audio] dijitoONEProposal — WPC 2026 Kenya Networking at scale: 1,000+ delegates from 60+ countries is a networking opportunity that a printed programme cannot support. In-app attendee directories and meeting scheduling tools turn that scale into matchmaking value for delegates and sponsors alike. 3.3 Local capability, fit for an African-first congress Symbolic fit: WPC 2026 is the first World Potato Congress held in Sub-Saharan Africa. Pairing that milestone with a Kenyan-built, Kenyan-operated technology partner reinforces the event's own positioning — African agriculture, African innovation, African delivery. Local crew, no fly-in delay risk: Dijito One's registration and badging crew are based in Nairobi, roughly 90 minutes from the Naivasha venue. There is no dependency on international shipping of hardware or fly-in technical staff, which removes a real risk for an event already coordinating delegate travel from 60+ countries. Native M-Pesa payment support: for any onsite payments — late registration upgrades, additional field-day tickets, merchandise, or local delegate fees — Dijito One's native MPesa STK Push integration lets Kenyan and East African attendees pay the way they already do, without friction or currency conversion confusion. Data sovereignty: delegate data captured onsite is processed and hosted within East African jurisdiction, an increasingly relevant point for government-adjacent and researchaffiliated attendees (KALRO, NPCK, and similar institutional delegations). 3.4 Cost and timeline efficiency Avoiding the premium of late commissioning: onsite technology, hardware, and crew booked close to the event date typically carry rush premiums and reduced vendor choice. Confirming now secures standard pricing and full crew availability. Parallel-path planning: starting onsite registration and app build now allows it to run in parallel with ongoing congress planning ( s, programme, sponsorship sales) rather than becoming a bottleneck in the final weeks before October. 4. Proposed Scope of Services The following Dijito One modules are proposed for WPC 2026, covering the full delegate journey from registration through to onsite engagement: Module What it delivers for WPC 2026 Dijito One Online Registration Complementary or integrated layer alongside the existing PCO registration system — capturing any local/regional delegate categories, field-day addons, or late registrations with native M-Pesa payment support. [Audio] dijitoONEProposal — WPC 2026 Kenya A note on security accreditation WPC 2026 will likely involve government and protocol-level attendees given the participation of KALRO and the National Potato Council of Kenya. Where national security accreditation (e.g. GPSO) is required for specific sessions or VIP attendance, Dijito One's standard approach is coexistence, not displacement: accreditation/security clearance is layered on top of the registration system via Excel export or API integration, while Dijito One retains registration, badge printing, payments, and the mobile app as the single source of truth. This avoids the data fragmentation, broken QR codes, and reconciliation problems that come from splitting these functions across vendors mid-event. 6.
