[Audio] Your Cezanne dashboard as a self service user 1. The tasks window shows a list of tasks that require your action, you can select there from here to action. If the task is part of a process it will show a moving circle diagram. By selecting either the circle to the left or the arrow to the right will take you directly to the task to complete. 2. Here you will see a summary of your absences and you can add absences from here too. 3. From diagram 3 You can easily see who is off in your team..

[Audio] Who's Off Below the widgets will show your team and peers that are off at a quick glance. To the left you can apply a different date in the future or past. To the right you can filter this to your needs also, where you have employee groups saved perhaps for a different business unit..

[Audio] Best of BJF recognition awards Select the icon in the far left panel Select 'nominate for best of bjf' in the right of the screen Start typing the recipients name and select Add your message Select your category Select 'nominate for best of bjf'.

[Audio] Here are your dashboard quick action widgets, these are pictured as square's with logos. Contacts – view any person in the organisation name, email and business contact numbers as well as manager Best of BJF – This takes you to our Group recognition scheme, that runs quarterly. Here you can add for individuals throughout the business, please not that where you wish to recognise a group of people you'll need to add them separately. Org Chart – Active Employees in report format My Personal Information – This will take you to your personal details that you can see, amend, or add – each change will track through to People & Talent for approval My Contact Details again this is a self-service function for you to amend your contact details, for example if you move home. My Bank Details – you can easily amend your banking details. Once submitted the payroll team and/or people & talent may call you to verify before approving. Calendar – Shows absences for you and your team. Appraisals – this will take you to the performance module which is currently inactive for most divisions. BJF IMS Library – is the link SharePoint company documents. Form Hub – this is an electronic form space, used for most forms to be assigned to individuals and completed and most are attached to an automated processes, which assist with communication, approvals and audit trail..

[Audio] The Contact search facility can be found through your quick action widgets depicted by the with a looking glass symbol. Start typing a name and select search, contact cards look like this. You can see the name, job title, location, email, contact number and line manager..

[Audio] To the right of your dashboard is 'My Absences Summary' This will show at a glance details of your absences where you select Add Absence or Add Overtime this request will be submitted to your line manager for approval or decline and you will be notified by email. You can easily see your annual entitlement and your remaining days to book You will also see your sick leave levels Other leave and Parental Leave.

[Audio] When you select the calendar icon either from your home page dashboard widget or the side bar pictured, you will see a calendar page. You can change the view using the icons on the top grey bar. Easily move through the months of the year, change the view to the day, week or month. You can select to show ALL events and not just holiday. You have the option to create a PDF. Here you can see all absences for your team and others in the business. It will show Holiday in Green and any other absence will be in blue and state 'Other Absence'. Unless it's your team and then you will have visibility of the type of absence..

[Audio] From this page you can filter whose absences you can see. For anyone outside of your team this will only provide 'absence' and you will not have the ability to view the details. You can select the button's of the existing filter groups to populate within your calendar view. Where you need to view a different group of absences or an individuals you can select the filter but above and follow these steps. A filter group screen will pop up as pictured in image 2 Select Add New Filter Group Name your filter group Select Add Employees You can apply a search based on org unit and or name as well as add criteria to filter your search further. Select Search An employee list will populate for you to select You can select multiple individuals by holding the control button of your keyboard and selecting the names using your mouse. Press Select at the bottom Check the group content and participants and select save..

[Audio] This lists the forms that you can select yourself and those that have been assigned to you for completion or as part of a workflow process. We use this to automate approvals and process flows for most business forms to include: Training Requests Pre start and Offboarding forms Probation Forms If you can select one yourself to complete you can 'Add New' for example a gifts and hospitality form can bel selected by you. All forms must be 'Saved' and then 'Submitted' to capture the changes you may have made. If it states 'Approval pending' in orange then that will require action from you. The options to the top right of the form are: Submit Request Cancel the completion entirely, the system will check with a pop up that you are cancelling the process. Finish Task Later, this icon will place the part completed form in your task list to pick up later., You can add notes to the form which will be visible to the next stage participant..

[Audio] Check Lists Checklists are created by HR admin users and when they are started the tasks are automatically assigned to the individuals noted. You may receive these as part of probation check list for example. They are prompts/reminders for you to complete tasks and are used for things like: onboarding, offboarding, induction and probation You will find your checklist tasks in your tasks button at the top left and side of your screen with a number in blue (outstanding tasks) You can filter these as 'All Tasks', 'Process tasks' or 'Checklist Tasks' You can also narrow that down further to: Form Builder Tasks Myself Performance Checklists You can see when the task was assigned For process driven tasks you will select the arrow > to complete your task, save and submit. For a checklist task you can either select the > to see further information regarding the task or; As described earlier you can select the grey circle in the left column next to the task to mark it as complete and remove it from your list..

[Audio] Notifications You can access the notifications from the top right-hand side of the screen pictured with a bell symbol, a number will also be highlighted in red next to it. These are usually sent to you in email format as a notification and/or daily digest depending on preferences selected. You can select all notifications and delete in bulk if you have dealt with them or do this individually. Alternatively, you can select to 'view' the notification this will take you to the screen the notification is about..
