[Audio] Welcome to BBSI's webinar on Workplace Violence Prevention Program or better know as WVPP. Today we will cover what steps you need to put into place to be in compliance with Cal-OSHA and California Labor Code 6401.9. After this webinar I highly recommend that you reach out to your assigned Risk Consultant to support you in ensuring all the requirements are in place. I do not anticipate OSHA coming out to business to check up on the new policy and procedures until the fall, but you never know. What will be important is that all the documents are dated on or before July 1st..
[Audio] Ok now lets get into the meat and potatoes of the policy. Pritty much all business will need to comply with this new regulation, the best way to look at it is if you have your employees working in an area that potentially could be subject to internal or external violence you need to have a policy in place to protect and guide them to safety and be able to document acks of violence. This new regulation will require you to have the following three elements in place..
[Audio] Most of you should already have the template and maybe some of you have already completed the policy. Please make sure that the template is not just fill in the blanks, this policy needs to be drilled down to your location, every business and every policy and procedures will most likely be a little bit different, depending on the building lay out and type of Violance you are facing. Example could be a warehouse vs a construction site the plans will be a lot different. Also ensure that you have a designated person that is responsible for maitaning the WVPP program and I also would recommend have a back-up person in place as well..
[Audio] Each and every employee needs to be training and this also needs to me documented. READ THE 5 Bullet points..
[Audio] This training will need to be completed every year and documented as well. Once you have a PowerPoint slide this should only take 15-20. The other way you could comply is have a WVPP training that is written and all the employees need to read and sign off that they understand and comply with the Policy and Procedures, but keep in mind that this needs to cover all points of the policy..
[Audio] You will need to ensure that your policy and procedures cover the following 4 types of workplace violence. In the years past we really just focused on active shooter training, now we need to ensure we incorporate all four acts of violence. READ TYPES. As you can see this covers a wide range of possible scenarios and that is one of the reasons that this template needs to focus on your business and not just rubber stamped to look like everyone elses. Your training will need to focus on what employees do if in any of the four types..
[Audio] You will need to conduct a work place hazard assessment to determine are there any opportunities for workplace violence to take place. Examples could be easy access into the workplace, doors that are keep unlocked, receptionist area were non employees come in and out, do you have armor vehicles picking up cash drops or neighboring business that could be a threat, maybe it a bar with people under the influence. If any employee reports a hazard and or concerns you need to take it serious and review the concerns and also make sure you document to employees concerns. I would recommend that you conduct at least a monthly inspection, once you have developed an inspection check list, this should not take too long to check off the boxes, and if you have a safety committee you can delegate this task to them. If you see a hazard and or concern make sure you correct the hazard if at all posable. If you can't correct the hazard work with your Risk Consultant to see if maybe there is a nother way to mitigate the concern by changing the process. If you have a safety committee in place make sure that this in one of the topics that is covered and also is in the meeting notes, if you don't have a committee then during your safety tailgate talks or monthly safety meetings. This could also be as simple as an email to the staff on the topic..
[Audio] Recordkeeping is going to be the key to ensure you are in compliance with the regulations, keep good documents on all the training to the employees, monthly hazard inspection and most important and concerns and or acts of workplace violence. I would set up a separate file or three ring binder and keep everything in one place so you have easy access to the documents if needed..
[Audio] The log that you will have needs to be completed every time one of the four types of violence occur. Please make sure you do not use personal information on the logs, if you are not sure what information is protected, please reach out to your HR consultant for a better understanding of protected information. Keep in mind that this log will not replace a injury investigation report, if the violence caused injury to an employee, you still are required to complete an injury investigation report and also if required place it on the OSHA 300 log..
[Audio] All of the records need to be kept for 5 years, even if the employee no longer works for you. After five years make sure to destroy the records properly and not just thrown in a trash can..
[Audio] If you have one of the four types of Violences in your workplace, how would you notify everyone, would you need to evacuate, shelter in place, call 911, how will you communicate with your staff to get them to shelter and or safety. Do you have a PA system, Bull Horns, pagers, what will be the fastest way to get the word out..
