[Audio] During this presentation, we will discuss ways to be prepared and accurate record keeping tips. Most of all, we want to stress the need to remain calm. After all hurricane season is a stressful time for all..
[Audio] Active communication is key during any emergency. The district uses a system called "Ready OP"to stay up to date with the flow of information. Ready Op helps keep all district personnel knowledgeable of what is happening throughout the storm..
[Audio] If our district is going to open shelters, we must stay in constant contact with the Emergency Operations command center. We begin to receive district information 72 hours from the storm making land fall. We receive updates at 48 hours, as well as 24 hours out. Depending on where the storm is tracked for land fall, our shelters may begin to open..
[Audio] Prepare Now before hurricane season. Check your supplies all of you should have batteries and a manual can opener. Check your propane tank to see if a refill is appropriate. Also check for colored tickets, flashlights, and radios. If any supplies are needed please send a request to your Regional Supervisor..
[Audio] If it becomes necessary to open shelters, the Superintendent will give all employees ample time to prepare your own homes before you are asked to report to your designated shelter. Once you arrive at your shelter, make sure you have timesheets printed for your employees. Take an inventory of all supplies. Make copies of manual production records. Separate tickets into baggies to be given to the EOC representative checking in participants..
[Audio] Establish meal times, Post them and verbally confirm with your shelter staff what you are planning..
[Audio] If you will be arriving early and breakfast is your first meal, prepare breakfast and get ready to serve. If you will be arriving later, then prepare lunch. Always cook food first while you have power and save convenience items for later..
[Audio] Establish work schedules for all the kitchen staff. Even though many of your employees know "the ropes", it is important to keep everyone busy. Some of your employees may be from other sites, so being organized is "key"..

[Audio] During meal service, encourage your employees to smile and speak to the participants. Remember this is a stressfully time for everyone. Collect a meal ticket for each meal served. Complete a manual production record for all products used. Keep accurate records and documentation together..
